Job Description—Bookkeeper 

Status:    Part-time, Non-exempt

Salary:   $30/hr-$35/hr

Benefits:    Sick Leave, SIMPLE IRA

Supervisor:    Executive Director

 

A. ADMINISTRATIVE SUPPORT

  • Sort financial documents in order to properly store or dispose of documents.
  • Conduct an annual inventory of fixed assets.
  • Assist with grants management; provide financial documents as required by funders.
  • Research and maintain updated information regarding agency insurance, leases, service contracts and other reports.

B.  BOOKKEEPING

  • Follow financial procedures established by STESA. Ensure that STESA is following generally accepted accounting principles.  Communicate irregularities to the executive director.
  • Conduct financial record keeping, including: Cash receipts, accounts payable, in-kind donations, bank deposits, billing of funders for services, reconciliation of bank accounts.
  • Keep an accurate record of employee benefit accruals including vacation, sick leave, SIMPLE IRA
  • Prepare and process necessary tax forms for contractors and vendors
  • Make appropriate journal entries
  • Review the general ledger to determine that all entries have been made properly
  • Review and update supporting spreadsheets for relevant QuickBooks transactions
  • Develop an audit plan in conjunction with the associate director and the oversight accountant
  • Provide monthly financial statements and special reports to the executive director, finance committee/board of directors as requested.
  • Prepare for the annual audit. Compile & produce information requested by auditor during the annual audit.  Work with the oversight accountant on the audit.
  • Match invoices to pre-approved purchase orders. Ensure accuracy of invoices.  Ensure bills are paid in a timely manner.  Ensure proper financial tracking of all purchases.
  • Serve as the Fiscal Officer for STESA grants as requested by the associate director. This includes signing grants and financial documents.  Create billing sheets to bill funders as necessary.  Work with the associate director to bill funders.

C.  OTHER

  • Participate in administrative meetings and other meetings as requested by supervisor.
  • Contribute to an atmosphere of teamwork, mutual respect and empowerment among staff and volunteers.
  • Other duties as required to advance the goals of STESA.

QUALIFICATIONS    

  • Full-charge Bookkeeper
  • Two years of experience in providing full-charge bookkeeping services
  • Experience with multiple computer systems software programs including the MS Suite and QuickBooks.
  • Attention to detail and experience in working in a multiple task environment
  • Ability to work independently with excellent organizational and time management skills
  • Strong oral and written communication.
  • Completion of a Sexual Assault Crisis Intervention Training (STESA willing to provide this training).
  • Willingness to work as part of a team and within a model of empowerment

Physical Job Requirements

This job requires the employee to:

  • Sit for 80% of the working hours
  • Type at a computer keyboard while seated at a desk
  • Lift and carry for brief periods up to 25 pounds from the floor to shoulder level
  • Bend, stoop and stand while filing in binders and files
  • Twist and reach while at a desk or computer terminal
  • Maintain physical and mental composure while dealing with deadlines
  • Hear and speak well enough to converse over the telephone or in person at all times
