EXECUTIVE ASSISTANT
POSITION
Standing Together to End Sexual Assault (STESA) is looking for a well-organized Executive Assistant to provide support for the Executive Director (ED) who is responsible for the successful administration and supervision of all functions of STESA with a strong emphasis on resource development and fiscal management. The Executive Assistant communicates clearly with tact and diplomacy. They conduct projects, manage scheduling and critical information flow to ensure the organization is efficient and effective. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to adapt to changing needs of the ED. The role interacts seamlessly with a professional demeanor across a broad range of individuals including board members, donors and other STESA supporters. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel, and institutional information while exercising professionalism and discretion. STESA is a collaborative and supportive work environment, where each staff member is valued and considered an integral part of the organization.
Status: Full-time, Non-exempt

A. ADMINISTRATIVE AND EXECUTIVE SUPPORT1. Work directly with the ED to support all aspects of their daily work routine.
2. Coordination and preparation of meetings, speaking engagements and screen telephone calls and visitors. The EA exercises discretion in committing time and prioritizes needs.
3. Answer a variety of questions with tact and diplomacy, taking messages and directing calls appropriately for resolution. Redirect matters as appropriate to other staff members or handle matters personally.
4. Make travel and accommodation requests. Prepare expense reports.
5. Assume responsibility for executive projects. Assist with project implementation activities. Research/analyze data and develop reports for management decision-making.
6. Keep ED advised of time-sensitive and priority issues, ensuring appropriate follow up.
7. Maintain an organized paper and electronic filing system for the administrative, grant and fund development files. Sort administrative and fund development documents to properly store or dispose of documents.
8. Prepare correspondence and develop other routine documents. Handle printing, faxing, mailing, filing and conduct other clerical duties.
9. Provide administrative support related to human resource information.
B. FUND DEVELOPMENT AND GRANT DUTIES
1. Assist with submission of grant applications and reports. This includes research for grant proposals, creating program budgets, and maintaining supporting documentation for grant proposals.
2. Assists with fund development activities. This includes development of letters for solicitation of goods and services, coordination of advertising and promotion, and dissemination of information, preparation of mailings and other necessary activities.
3. Assist with fundraising record keeping including the maintenance of the donor database and agency mailing list.
C . QUALIFICATIONS
1. BA in a business-related field preferred.
2. Two years of experience in a wide variety of skilled administrative and clerical support.
3. Experience with project management, event coordination and fund development activities.
4. Experience in the full range of computer software skills, especially MS Office suite, Outlook, Excel, Word, Power Point, Publisher, and the management of databases. Strong use of Internet research skills.
5. Ability to exercise sound judgment with a strong ability to prioritize and make appropriate decisions.
6. Experience in maintaining high-level relationships. Comfortable interacting with high level executives and dignitaries. Ability to interface with diverse personnel, volunteers and the public.
7. Attention to detail and experience in working in a multiple task environment. Well organized.
8. Ability to work independently with minimal supervision. Must have excellent time management skills with a proven ability to meet deadlines. Able to identify and respond to shifting priorities. Ability to work varied hours.
9. Experience in the use of sensitive and confidential information. High degree of discretion.
10. Strong verbal and written communication skills. Considerable use of tact, diplomacy, discretion and judgment.
11. Knowledge of non-profit organizations and practices.
12. Knowledge of sexual assault issues, rape crisis center operations.
13. Contribute to an atmosphere of teamwork, mutual respect and empowerment among staff and volunteers.
14. Reliable transportation with valid CA driver’s license and insurance.
